Terms of Service

Please read section 2 in particular. Wolfpak is a coordination tool. It is not an emergency service, it is not monitored by us, and it must never be the only way your team can be reached.

1. The agreement

These terms are an agreement between Wolfpak ("Wolfpak", "we", "us") and the organisation that uses the service — a farm watch, a community policing forum, a security company or similar ("you", "your group"). They also apply to every person who uses Wolfpak as a member of your group.

You accept these terms by creating an account, accepting an invitation, or using the Wolfpak control room or mobile application. If you are accepting on behalf of an organisation, you confirm that you are authorised to bind it.

Our Privacy Policy forms part of these terms and explains what personal information we handle and why.

Wolfpak is a trading name. Registration number, registered address and VAT number: [TO BE COMPLETED]. South African law requires a supplier offering services electronically to disclose these, so fill them in before publishing.

2. What Wolfpak is, and what it is not

Wolfpak is software that helps your control room see where your members are, send them to specific locations, and keep a record of what happened during an incident. That is all it is.

Wolfpak is not an emergency service

  • We do not monitor anything. No person at Wolfpak watches your map, reads your incidents or responds to them. Everything that happens in the service is done by your own people.
  • We do not dispatch anybody. Wolfpak carries instructions your operator gives. It does not decide who goes where and it does not act on its own.
  • We are not a substitute for the police, an ambulance or a fire service. In an emergency, contact the relevant emergency service directly. Do not rely on Wolfpak to summon help.
  • We do not guarantee that any message arrives. Notifications depend on mobile networks, on Apple's and Google's push services, on the recipient's phone and on its settings. Any of these can fail, be delayed, or be silenced by the device. A notification you cannot see is indistinguishable from one that was never sent, and you must plan for that.
  • Positions can be wrong, stale or missing. Location comes from consumer GPS and from radio hardware, both of which are inaccurate at times and silent at others. A marker on a map is the last thing we were told, not proof of where somebody is now.

Keep your existing means of communication. Wolfpak is intended to sit alongside a radio net, a phone tree or a WhatsApp group — not to replace the ability to reach your people by another route.

3. Groups, accounts and access

Wolfpak is organised into groups. Each group has its own members, areas, incidents and records, and these do not cross between groups.

Membership is by invitation. A person cannot join your group by registering — somebody who administers the group must invite them. Roles determine what a person can do: broadly, a member reports their position and answers taskings, a control room operator dispatches and reads incident records, and a group administrator manages members and areas.

You are responsible for who you invite, what role you give them, and removing people who should no longer have access. We cannot know that somebody has left your group.

Accounts are personal. Do not share credentials. Tell us promptly if you believe an account has been compromised.

7. Availability and support

We aim to keep Wolfpak available and working, but we do not promise any level of uptime, and we give no service level agreement unless we have signed one with you separately.

The service may be unavailable for maintenance, because of a failure at a supplier, or for reasons outside our control. We will give notice of planned maintenance where we reasonably can.

8. Things we depend on

Wolfpak relies on services we do not control, and a failure in any of them can degrade or interrupt part of the product:

9. Radio trackers

Wolfpak can receive positions from long-range radio trackers. We do not sell, supply, install or warrant hardware. You buy it, you configure it, and you are responsible for operating it lawfully — including using only frequencies and power levels permitted in your country.

This part of the service is still being field tested. Radio coverage depends entirely on terrain, antenna placement and the number of base stations, and we have not proven it across a full patrol area. Do not depend on tracker coverage until you have tested it yourself over the ground you actually work.

Positions relayed by a base station on behalf of another device are asserted by that base station rather than proved by the device itself. Treat them as information, not evidence.

10. Your data and your records

Your content — your members, areas, incidents, taskings, notes and position history — remains yours. We process it to provide the service, as described in the Privacy Policy.

Incident logs cannot be edited. The incident record is append-only by design: entries are added, never changed or removed, because a record somebody can quietly revise is worth little afterwards. A correction is a new entry. Please understand this before your operators type anything into it.

You can export an incident report as a PDF at any time while your account is active. If you need a full export of your data, ask us and we will provide it in a reasonable machine-readable format.

We may use aggregated, de-identified information about how the service is used to improve it. This never identifies your group, your members or your incidents.

11. Fees and pilots

Wolfpak is currently offered to a small number of groups as a free pilot. During a pilot:

If we introduce charges we will tell you in advance and you will be free to decline and stop using the service. We will not start charging for a period you have already used.

12. Intellectual property

The Wolfpak software, its interfaces, its documentation and the Wolfpak name and logo belong to us. Nothing in these terms transfers ownership of any of it to you.

We grant you a limited, non-exclusive, non-transferable, revocable right to use the service for your group's own operations for as long as this agreement is in place, and for no other purpose.

If you send us feedback or suggestions, we may use them without obligation to you. This does not give us any right to your operational data.

13. Warranties

The service is provided "as is" and "as available". To the fullest extent the law allows, we exclude all warranties, conditions and representations that are not expressly set out in these terms — including any implied warranty of merchantability, fitness for a particular purpose, accuracy, or uninterrupted or error-free operation.

We do not warrant that the service will prevent, detect, interrupt or resolve any crime, fire, medical emergency or other incident, or that using it will improve any outcome.

Nothing in these terms excludes a right you have under the Consumer Protection Act or any other law that cannot lawfully be excluded.

14. Limitation of liability

This section is important, so it is stated plainly. Wolfpak is a low-cost coordination tool used in situations where serious harm is possible for reasons that have nothing to do with us. We cannot accept responsibility for those outcomes, and we could not offer the service at all if we did.

To the fullest extent the law allows, we are not liable for:

Where liability cannot lawfully be excluded, our total liability to you for all claims in any twelve-month period is limited to the greater of the fees you paid us in that period or ZAR 1,000. During a free pilot, no fees are paid and this limit is ZAR 1,000.

Nothing here limits liability for our own fraud, or for anything that cannot be limited by law.

You will indemnify us against claims, losses, penalties and reasonable legal costs arising from:

16. Suspension and termination

You may stop using Wolfpak at any time. Ask us to close your group and we will delete or return your data as described in the Privacy Policy.

We may suspend or terminate access, with notice where it is reasonable to give it and immediately where it is not, if you breach these terms, if we are required to by law, or if your use threatens the security or integrity of the service or another group's data.

On termination, your right to use the service ends. Sections 10, 12, 13, 14, 15 and 18 survive.

17. Changes

We may change the service, and we may change these terms. Where a change materially reduces your rights or increases your obligations, we will give you reasonable notice — at least 30 days where we can — by email to your group's administrators or by a notice in the control room.

Continuing to use the service after a change takes effect means you accept it. If you do not accept it, stop using the service and tell us so we can close your group.

These terms are a starting point, not legal advice. They were drafted to be clear and to cover the risks that matter for a service like this, but they have not been reviewed by an attorney. Before you rely on them — and certainly before you charge anybody — have a South African commercial lawyer review them, particularly sections 13, 14 and 15 and the Consumer Protection Act implications of a limitation of liability.
